1. Who we are

OrchuGo is a translation and document-service application operated by PW Renaissance LLC, including services associated with the “Khos Khetevch” Translation Center.

This Privacy Policy applies to the OrchuGo mobile application, related web services, and backend services used to provide OrchuGo features.

2. Information we may collect

Account and profile information

• Name and surname / full name.
• Email address.
• Phone number if you provide one in a profile, order, delivery, partner, or translator workflow.
• User role, account status, referral code, partner code, and related account metadata.
• Authentication information needed to sign you in. Password authentication is handled through Firebase Authentication; OrchuGo does not intentionally store your plaintext password.

Documents and translation content

• Text that you type into forms, templates, letters, translation fields, or other OrchuGo inputs.
• Files and images that you choose to upload for translation, OCR, certification, review, pricing, or related document services.
• Extracted OCR text, translated text, generated document fields, generated DOCX/PDF files, QR verification data, serial numbers, and related output.
• Depending on the document you submit, content may include names, addresses, identification numbers, passport details, civil-registration information, legal information, educational information, financial information, medical information, or other personal or sensitive information contained in the source document.

Order and service information

• Order identifiers, selected service, source and target languages, document/template type, pricing information, payment status, review status, and delivery status.
• Translator/reviewer assignment and certification information where applicable.
• Partner/referral attribution when a referral or partner code is used.

Payment information

Where payment features are available, OrchuGo may create and track payment invoices through third-party payment providers such as QPay. We may store transaction identifiers, invoice identifiers, amount, payment status, and payment-related records needed to complete and reconcile an order. OrchuGo does not intentionally store full bank-card credentials.

Technical and security information

Our infrastructure and service providers may process technical information necessary to operate and secure the service, such as authentication tokens, IP address, request metadata, timestamps, application errors, and security logs.

3. How we use information

We use information for legitimate service, operational, security, support, and legal purposes, including to:

• Create and manage your OrchuGo account.
• Authenticate users and protect accounts against unauthorized access.
• Translate, proofread, format, generate, preview, certify, and deliver documents requested by you.
• Perform OCR and extract text from documents you choose to process.
• Provide quotations, create orders, process payments, and maintain transaction records.
• Assign work to authorized translators or reviewers when human review or certified translation is requested.
• Generate QR codes, serial numbers, verification records, and other features used to validate documents.
• Operate referral and partner programs, including partner attribution and commission administration.
• Respond to customer-support, privacy, security, and account-deletion requests.
• Detect abuse, fraud, security incidents, and violations of our terms.
• Comply with applicable legal, accounting, tax, regulatory, and dispute-resolution obligations.

4. AI-assisted translation and proofreading

Certain OrchuGo translation and proofreading features use artificial-intelligence services. When you request an AI-assisted feature, relevant text and limited contextual information needed for the requested translation or proofreading may be transmitted through our server-side infrastructure to OpenAI.

Because translation content may contain personal or sensitive information, you should submit only information necessary for the service you request. Where a certified or human-reviewed service is selected, authorized translators or reviewers may review the resulting content.

5. OCR and document processing

OrchuGo may use Google ML Kit or similar technology to recognize text in images or documents. OCR features may process content on your device and may use supporting components supplied by Google. When a feature requires cloud storage, document generation, preview, review, or delivery, the relevant file or extracted content may also be transmitted to OrchuGo’s backend services.

6. When we share or disclose information

We may disclose information only as reasonably necessary to provide and protect the service, including to:

• Google Firebase / Google Cloud: for authentication, database, file storage, cloud functions, hosting, and backend infrastructure.
• OpenAI: when AI-assisted translation or proofreading is requested.
• Payment providers, including QPay: to create, process, confirm, or reconcile payments.
• Authorized translators, reviewers, and service personnel: where necessary to provide human review, certification, customer support, or requested document services.
• Partner/referral program records: where a user voluntarily enters a partner or referral code, to administer attribution and commissions.
• Authorities or professional advisers: where disclosure is required by law, legal process, fraud prevention, security, or protection of rights.

We do not sell personal information as a standalone commercial product.

7. Partner and referral information

If you voluntarily enter a partner code or referral code, OrchuGo may associate your account and order activity with the relevant referral or partner record. This may include your user identifier, name, email address, phone number if provided, registration status, and transaction attribution needed to administer the program.

8. Data storage, retention, and deletion

We retain personal data only for as long as reasonably necessary to provide the requested service, maintain the integrity of completed orders and document-verification records, comply with legal, accounting, tax, security, fraud-prevention, and dispute-resolution requirements, and enforce our agreements.

Uploaded source files, generated documents, order records, and verification records may have different retention periods depending on the service requested and applicable legal or operational requirements.

When you request account deletion, we will delete or anonymize personal data associated with your account that is not required to be retained for a legitimate legal, security, fraud-prevention, accounting, tax, or dispute-resolution purpose. Where retention is required, access will be limited and the information will be retained only for the required period.

9. Account and data deletion

You may request deletion of your OrchuGo account and associated personal data. To make a request outside the app, email pwrengroup72@gmail.com with the subject “OrchuGo Account Deletion Request” and include the email address registered to your OrchuGo account.

We may request reasonable verification to confirm that the request comes from the account owner. After verification, we will process the deletion request subject to the retention exceptions described above.

10. Security

We use reasonable administrative, technical, and access-control safeguards designed to protect personal and sensitive information. These measures include authenticated access, server-side access controls, encrypted network transport where supported by our service providers, and restricted access to operational systems.

No electronic storage or transmission method can be guaranteed to be completely secure. Users are responsible for protecting their account credentials and for avoiding unnecessary disclosure of sensitive information.

11. International processing

OrchuGo uses cloud and AI service providers that may process information in countries other than Mongolia. Information may therefore be transferred to and processed in jurisdictions where our service providers operate, subject to applicable contractual, technical, and legal safeguards.

12. Children’s privacy

OrchuGo is a general translation and document-service application and is not directed specifically to children. A parent, guardian, or authorized adult should submit documents for a minor where legally required. If we learn that personal data was collected from a child in a manner inconsistent with applicable law, we will take appropriate steps to address it.

13. Your privacy choices and rights

Depending on applicable law and the nature of your relationship with OrchuGo, you may request to:

• Access or obtain information about personal data associated with your account.
• Correct inaccurate account information.
• Delete your account and associated data, subject to lawful retention requirements.
• Ask questions or raise concerns about how your information is handled.

14. Changes to this Privacy Policy

We may update this Privacy Policy when OrchuGo features, service providers, legal requirements, or data practices change. The updated version will be published at this URL with a revised “Last updated” date. Material changes may also be communicated through the app or other appropriate channels.
